JOB DESCRIPTION
JOB TITLE: Administration Officer (Complaints, Governance and Data
Protection)
REPORTING TO: Executive Administrator
CONTRACT TERM: Full Time Permanent
The Irish Association for Counselling and Psychotherapy (IACP) is
seeking to recruit an experienced and resourceful Administration
Officer (AO) to join their South County Dublin based team. This is an
excellent opportunity to join a dynamic organisation and to provide
support across a number of functions including complaints, governance
and data protection.
KEY RESPONSIBILITIES (INCLUDE BUT ARE NOT LIMITED TO):
COMPLAINTS:
* Management of confidential complaints files.
* Dealing with complaints correspondence and maintenance of records
for each case.
* Organising & attending Complaints Committee meetings (held once a
month on a
* Monday evening) and taking minutes (a time in lieu system is in
place for attendance at these meetings).
* Compiling Complaints Committee meeting agenda and updates and
liaising with the Chair of the committee.
* Co-ordinating with committee members between meetings in relation
to on-going complaints.
* Managing sanctions when complaints are upheld.
* Answering email enquiries and managing the complaints section of
the website.
* Liaising with the IACP solicitor for legal advice as required.
* Reviewing and compiling quarterly statistics ? number of
complaints, types, outcomes.
* Administrative support for Appeals Panels and for any
sub-committees relating to complaints.
GOVERNANCE:
* Providing administrative support to the Executive Administrator.
Assisting with preparation for Board and other committee meetings
including preparation of meeting briefs, ongoing information
compilation, co-ordination, preparation, formatting, updating and
production of material for the above meetings and following up on
action points from meetings with Board/committee members, CEO and
Management Team.
* Attendance at meetings as required for minute-taking purposes.
DATA PROTECTION:
* Providing administrative support to the IACP Data Protection
Officer. This involves assisting in the processing any subject access
requests (SARs) that may be received, collation of data protection
statistics and assisting with annual data destruction as per the IACP
Data Protection Policy.
GENERAL:
* Providing cover for the Member Care department when required.
* Liaising with staff in various departments of IACP as required to
fulfil role.
The above duties and responsibilities are not intended to be a

consequently, the post holder may be required to perform other duties
as appropriate to the post which may be assigned from time to time and
to contribute to the development of the post while in office.
The Ideal Candidate will have:
* Minimum 3 years of high-level administrative experience.
* Excellent verbal and written communication skills.
* Strong organisational skills, attention to detail, written and
communication skills.
* Experience in document control and management.
* Good project management skills with an ability to multitask and
manage deadlines.
* A calm and professional manner.
* Ability to work independently, be self-motivated and action
oriented.
* Be very capable of working within a team.
* Sound judgment, tact, diplomacy, and professionalism applied in
all transactions, maintenance of utmost confidentiality with sensitive
and personal information.
* At least an intermediate level knowledge of Office **Apply on the
website** and MS packages. e.g., Word, PowerPoint, Excel, Outlook,
etc.
* Knowledge of GDPR and experience of processing data protection
requests would be advantageous (training will be provided).
REMUNERATION AND CONDITIONS:

per annum, dependant on experience.
* The AO will initially be based remotely with some requirement to
attend the office on occasion for business specific purposes. It is
planned that staff will return to work in IACP?s Office in Marina

Dublin on a hybrid basis when restrictions have lifted.
* The normal working hours are **Apply on the website** hours per
week between 9 am and 5 pm, Monday to Friday. There is a flexible
